Team and Operations Assistant
The Role

We are looking for a highly organised, agile and proactive Administrator to join our outstanding team at The Wheeler Institute for Business and Development. As our Team and Operations assistant you will report to the Senior Manager and will be responsible for providing general administrative support to the Wheeler Institute team in the development and delivery of our research, education and outreach initiatives working closely with other members of the team, and other internal and external stakeholders.
Fixed term contract until July 2024
Main Responsibilities
- Delivering projects and events/workshops on time, and to quality standards.
- Responding in a timely and professional manner to, and resolving enquiries, requests and issues.
- Ensuring a high-quality support service (accuracy of materials and professionalism in manner) is provided to students, colleagues and stakeholders.
- Maintaining accuracy and integrity of data in business systems including CRM system (Salesforce), as well as financial and expenses records.
- Anticipating and maintaining up-to-date diary management.
- Developing relationships within and outside the team, and receiving positive feedback from all stakeholders.
- Complying with processes, procedures and standards.
- Providing ongoing support and independent contributions to process reviews and operational improvements.
Who we are looking for
- Demonstrated experience supporting projects and coordinating of events
- Experience working in an education, learning-based or customer-focused organisation
- Experience in or working knowledge of standard financial management processes.
- Excellent communication skills (including written) and the ability to address a variety of stakeholders.
- Demonstrated ability to work collaboratively and in a supporting team environment
- Identification with the mission and engagement with the initiatives of the Wheeler Institute
- Demonstrated ability to work under pressure, using own initiative and problem-solving skills.
- Proactive approach to streamlining operations and identifying ways to create efficiencies in processes.
- Demonstrated time management skills with the ability to organise and prioritise with a meticulous attention to detail
- Experience in or working knowledge of CRM systems, such as MS Dynamic, Salesforce and/or Campaign Monitor.
- Strong experience with the Microsoft Office Suite and working knowledge of the Adobe Suite and Canvas
